This job aid describes steps on how to create and process a UDOC to disable a CORE User.

The department-appointed CORE Administrator should follow user's these steps when disabling a CORE User's access who will no longer require CORE access.

To complete a UDOC to Disable a User, follow the steps below:

2. Select Create by clicking the Create button.

3.  Enter the Transaction Department Code in the Transaction Dept. field.

 

4.  Enter the Transaction ID in the Transaction ID field. The Transaction ID should follow the naming convention userIDyyyymmDD. The CORE user ID following by the current year, month, and day.

 

Note: Transaction IDs are limited to 20 characters. Truncate User IDs as needed to meet the 20-character limit. Click the “Continue” button to create the transaction.

5.  Enter the User ID on the Header tab.

6.  Click the Populate From Existing User button. This is a CRITICAL step in the process.

7. Scroll down to Account Options

 8.  Select Password Maintenance and ensure NO boxes are checked.

 9Scroll down to the Applications section and make sure ADVANTAGE Financial and PASSWORD RESET (and if applicable, ADVANTAGE Performance Budgeting) are unchecked.

 10Select the Security Roles tab.

 11.  Select each role and click the 3-dot menu on the right-hand side of the record. Use the “Remove” menu option to delete the association between the security role and the user id. 

12.  Repeat until all roles have been marked as Removed.

⚠️ IMPORTANT: Do not use the Delete (trash can) option unless you are editing a draft UDOC and have added a Security Role by mistake.

13.  When you have finished, be sure to click the Save button.

14.  Select the Workflow Roles tab. 

15.  Select each Workflow Role and click the Remove menu option in the right-hand 3-dot menu. 

16.  Repeat until all roles have been marked as Removed. 

17.  Click the Save button. 

18.  Select the Business Roles tab. 

19.  Select each Workflow Role and click the Remove menu option in the right-hand 3-dot menu. 

20.  Repeat until all roles have been marked as Removed. 

21.  Click the Save button. 

22.  Click the Validate button and correct any errors. 

23.  Click the Submit button.
