Creating a Stand-Alone Solicitation
Process:
This job aid describes steps to create a Stand-Alone Solicitation for all departments. You can create several different stand-alone solicitation transactions (DQ1, IFB1, RFP, NPSS1, RFI, RFQ, RFQ1). For training purposes, we will use an RFP as an example. To create a stand-alone solicitation, you will want to follow the steps below:
Navigate to the Global Search Bar and type RFP.
a. Select Request for Proposals.
b. Click Create
c. Enter Department Code in Transaction Dept field.
d. Enter Unit in Transaction Unit field (optional)
e. Check Auto Numbering.
f. Click Continue.
2. Select Header Tab.
Enter Transaction Description in the General Information Section.
Scroll to down to Procurement Details section.
Enter Solicitation Category.
Enter Bid Receiving Location.
Scroll Down to Contacts Section.
Select appropriate Requestor ID from picklist.
Enter Requestor's Phone Number and Email (if not auto populated).
Select Save.
Scroll Down to Templates Section (optional)
Select Appropriate Terms and Conditions code from picklist.
Click OK.
Scroll up to 3 Dot Menu to the right of Attachments button.
Expand 3 Dot Menu and select Load Terms and Conditions.
Attach any supporting documents, if necessary.
3. Select Terms and Conditions tab.
Confirm selected Terms and Conditions code matches.
4. Select Scheduled of Events section.
Click the + symbol to insert new line.
Select Event Code from picklist.
Enter Event Name.
Enter Event Date.
Enter Event Time.
Click Save.
5. Select the Commodity tab.
Click + symbol to insert new line.
Select a Commodity from Picklist.
Click Caret to expand options.
Complete the General Information section.
a. Refer to the lists below for required information of each Line Type.
Click Save.
For Item:
Enter or select the following information:
Commodity.
CL Description.
Line Type - Select Item.
Quantity.
Unit.
Unit Price.
For Service:
Enter or select the following information:
Commodity.
CL Description.
Line Type - Select Service.
Contract Amount.
Service From.
Service To.
For Discount:
Enter or select the following information:
CL Description.
Line Type - Select Discount.
Effective From.
Effective To.
Note: Vendors who registered for any of the commodity codes listed on the solicitation receive an email notification of the solicitation, unless a Vendor List is used.
6. Select Publishing Tab.
Enter or Select the required information for these fields.
Let Date, Close Date, Close Time.
Review auto - populated publishing list.
Select/deselect items, as necessary.
Select Save.
7. Select Validate and Submit.
