PB Reference Report PB-001- Chart of Accounts (Dimensions)

Process

This job aid describes the activities required to obtain and use the PB-001 – Reference Data report from infoAdvantage. This report provides separate tabs for the most used chart of account elements* in Performance Budgeting (PB). The report includes data from the PB database including Appropriation Unit, Fund, Fund Type, Organization Code, Program Code, Request Code, and SAI.

This report is intended to provide PB users access to reference data in a listing format rather than accessing an individual record through the PB System. This report can be run by following these steps:

1. Access infoAdvantage through CORE or by utilizing the direct access option

2. Select CORE Reports>Statewide Reports>Performance Budgeting>PB 001 - Reference Data

3. Select Query from the tool bar

4. A reports window appears providing options for selecting prompts.

a. Cabinet

b. Active in PB

c. Postable in PB

Users have the option of entering in prompts to limit the data by agency/cabinet, active or inactive, and postable or not postable records.

For example, the Department of Agriculture, Cabinet B would enter B% in the Cabinet prompt field, so the report would provide data for Appropriation, Organization Code, Program Code specific to cabinet B. The Fund, Fund Type, SAI, and Request Code data are statewide and would not change with the agency/cabinet prompt. 

If prompts are not selected, the report will provide statewide data for all tabs, including all active and inactive records, and postable and not postable records.

Users can elect to print the data by selecting the download icon as illustrated below:

The drop down provides the options of PDF, Excel (xlsx), Excel (.xls), CSV Archive and Text. Based on best practices it is recommended to download to excel. Users will find that after downloading to excel the data can be formatted to meet the needs of the individual user.

*Performance Budgeting (PB) uses the term “Dimensions” for classifying chart of accounts elements.
