Viewing Transaction Versions and History

Process

This job aid describes steps to view a list of all versions of processed transactions including archived transactions that are in Final or Historical (Final) Phase. There are three ways in CORE to inquire about a transaction's history in CORE. For steps on how to inquire in CORE about a transaction history, you will want to follow the steps below:

Accessing Transaction History Query

The Transaction History Query (DHIST) allows you to view a list of all versions of processed transactions including archived transactions in Final or Historical (Final) Phase. Note: Transactions that are still in Draft, Pending, Template, No Phase, or Conflict Draft Phase are not included in the Transaction History Query.

2. Enter the Transaction Code in the Transaction Code field.

3. Enter the Dept in the Transaction Department field.

4. Enter the Transaction ID in the Transaction ID field.

5. Select Apply.

Note:  All fields are required and do not use wildcards (*)

Accessing Transaction History With Transaction History Link

1. Enter Transaction Code (GAX, for this example) in Global Search field and and select General Accounting Expense.

2. Enter Department in the Dept field.

3. Enter Transaction ID in the ID field.

4. Select Search.

5. In the ID column, click on the ID hyperlink for your transaction.

6. Click the 3-dot menu on the right side of screen and select Transaction History.

Transaction Versions

A transaction can be modified or canceled even after it has been finalized depending upon the transaction type. When an accepted transaction is modified or canceled, a new version of the transaction is created to allow the existing version of the transaction to remain in force. Version numbers are used to uniquely identify each version of the transaction. Once a transaction has been finalized, any attempts to make changes will result in CORE creating a version two, and so forth. All versions of the transaction appear in the Transaction Catalog and in the Transaction History.
