CORE Attachments
CORE allows you to upload and attach files created in other applications (i.e. Excel, Word, PDF) to a CORE transaction that is in Draft phase. When a file is attached to the CORE transaction, it is treated as an extension of the CORE transaction. Because these attachments are treated like an extension of a transaction, CORE security applies to these attachments. You will be able to access attachments for transactions that you are authorized to work with.
This job aid describes steps to add, view, and delete transaction attachments in CORE.
Adding an Attachment to a Transaction
Open the transaction that you are working on.
The transaction must be in the draft phase to upload the attachment.
2. Select Edit.
3. In the Header tab, click the Attachments button located on the right side of the screen.
4. In the Attachments box that opens, choose your method to upload the attachment(s). You can drag and drop your file into the box or you can browse to find your file on your computer.
5. Once the file is selected or dropped, the Upload tab will show:
Name and size of the file. There is a limit of 20MB per attachment.
Comment box to add any relevant information on the attachments.
Type of file dropdown:
Standard
Proprietary
Option to Browse or Drop additional files.
When files have been added, click Upload.
A message will indicate success at top of screen.
Viewing an Attachment to a Transaction
Open the transaction that you are working on.
To view an Attachment, the transaction does not have to be in draft phase.
2. In the Header tab, click the Attachments button located on the right side of the screen. The number in parenthesis next to the word Attachments is an indicator of how many attachments are uploaded to the transaction, i.e., Attachments (1), Attachments (2), etc.)
3. In the Attachments box that opens, there are a few options to download files to view:
Click the link for an individual file and it will automatically download.
Click the check box of the file(s) you wish to view and select the 3-dot menu on the right side of box and select Download.
For multiple files to be downloaded as a zip file,
Click the check boxes of all the files you wish to view.
Click the small down arrow icon located above the 3-dot menu and a zip file will download.
Deleting Attachments in a CORE Transaction
NOTE: You may only delete an attachment from a transaction that is in Draft Phase and that is in Edit mode. If the transaction is in Final Phase, you must modify the transaction to delete the attachment. If the transaction cannot be modified because it is closed or is a type that cannot be modified, you will want to contact the CORE Help Desk (core.help@state.co.us).
To delete attachments in a CORE transaction you will want to follow the steps below:
Open the transaction that you are working on.
You will want to make sure that this transaction is in Draft Phase.
If it is in Final Phase, you must modify the transaction to delete the attachment.
2. In the Header tab, click the Edit button located on the top right side of the screen.
3. In the Header tab, click the Attachments button located on the right side of the screen.
4. In the Attachments dialogue box, select the Attachments tab
Click the check boxes of all the files you wish to delete
1. Click the trash can icon located on the the right side of the dialogue box
2. Click the check box of the file(s) you wish to view and select the 3-dot menu
on the right side of box and select Delete.
5. A Delete box will appear asking for confirmation that you want to delete the Attachment(s).
Click Yes if you are sure
Click No to return to the Attachment box
Note: If the attachment was added to the same version of the transaction, then it is automatically removed. However, if the attachment was added to a previous version of the transaction, then the status is changed from active to pending delete.
