Using an Accounting Template

This job aid describes how to use an Accounting Template to enhance the speed and accuracy of data entry in various types of CORE transactions.
CORE offers an Accounting Template feature that can enhance the speed and accuracy of data entry into any
CORE transactions with Accounting Lines. This feature is designed for routine transactions that utilize a specific combination of Chart
of Account elements. For example, when expenditures need coding to a specific Fund number, Department code, Appropriation
code, Activity code, and Task code, an Accounting Template can be created with the combination codes. When the template is
subsequently used, those codes will auto-populate in the appropriate fields.
1. To process a transaction using an Accounting Template, create the transaction and enter all other information.
2. In the Accounting ribbon, General Information tab, type the appropriate Accounting Template “Name” (or choose it from the search menu) in the Accounting Template field.
3. Enter all remaining required data such as description, dollar amount, etc.
4. The specific Accounting Template coding will populate automatically when the transaction is validated.
5. If the Accounting Template did not include all required Chart of Account coding, then enter any additional required codes as well for example the Location. Scroll down the COA tab to see all coding. All accounting elements are now entered on one tab.
6. If additional Accounting Lines are needed in the transaction and you have not yet validated the transaction, then you can use the “insert copied line” feature. In the new line, you can use a different Accounting Template, and you can update additional requred COA elements, as needed. Note, however, after the transaction has been validated, you should no longer use the insert copied line feature if using different COA elements then the copied Accounting Line. When the transaction is validated, the coding from Accounting Template(s) will populate the appropriate fields, as shown below.
