You will use the Department Specific Data (DEPTD) transaction to classify a new employee's labor distribution. This process, initiated from the Employee Profile Management (EPM) activity folder, ensures the employee is accurately set up for payroll, benefits, and personnel tracking.

Before you begin, make sure:
The position the employee is being hired into has already been created and authorized. Refer to the Create a Position and Authorize a Position guides for additional information.
After the position has been authorized, the workflow process of review and approval has been created for the position. This needs to happen prior to the completion of this job aid.
Prior state service has been researched by using the QSSN, HRDW, or EMPL query. This ensures you can reuse the Employee ID (EID), verify state service, and confirm important data like prior leave accruals and time in series.
On the Home Page, click the Employee Profile Management (EPM) QuickLink.

Use Global Search to navigate to the EPM page: Click the expand/collapse (🞂) icon in the search bar, select Page Code, enter EPM, and select EPM Employee Profile Management from the drop-down list. The EPM activity folder opens to a query.
2. Use the employee ID (or other available filter fields) to search for the employee you just created, then click the Apply button. The matching results populate in the grid.
3. Locate the correct record and click the View button next to the record to open it. The record opens to the Employee Status Maintenance tab in the EPM activity folder.
4. Click on the Department Specific Data tab.
5. Click the Modify button at the row level. The Department Specific Data (DEPTD) transaction page opens.
6. In the General Information section, for the Department Action field, enter the code DEPTD.
Note: Do not update or complete any other fields in this section.
7. In the Employment Information section, for the Labor Distribution Classification field, enter the code or use the picklist to select a code:
CFR: Classified/Full Time/Reg
CFT: Classified/Full Time/Temp
CPR: Classified/Part Time/Reg
CPT: Classified/Part Time/Temp
NFR: Non-Classified/Full Time/Reg
NFT: Non-Classified/Full Time/Temp
NPR: Non-Classified/Part Time/Reg
NPT: Non-Classified/Part Time/Temp
Note: Although this field does not have an asterisk (*), it must be completed. Do not update or complete any other fields in this section.
8. Click the Save button at the top of the page. This action saves the data entry and ensures you don't lose your work when validating or submitting the transaction.
9. Click the Validate button at the top of the page. This action validates data entry and checks for errors.
Confirm that the transaction validated successfully.
If errors are returned, correct the issues in the applicable sections and click Validate again.
10. Once validation is successful, click the Submit button at the top of the page. This action finalizes the transaction and routes the transaction for review and approval.
Confirm that the transaction was submitted successfully.
11. Click the Close button at the top of the page. This action returns to the activity folder.
Important Information
After completing the Hire a New Employee process for a term-limited or temporary employee, the corresponding separation transaction can be initiated. The separation can be future-dated in a corresponding transaction to ensure the system automatically processes the employee's departure on the position's official end date.
