Process
When it is determined that a Budget Request is no longer needed, first, the data needs to be zeroed out, then the budget lines deleted. Lastly, the Budget Request form needs to be deleted. The following are the steps to complete the process.
The Zero Out Functionality within a Budget Request Layout Form allows the user to zero out all lines within a budget request. The zero out functionality can be used on any budget layout form.
In this example, we are deleting budget request 23395 in budget layout 110_RY_LEGISLATION. The first step is zeroing out the budget lines in the budget request.
Page Code: BUDR
In the Code Field, enter 110*
Select Apply to see Budget Requests
On the Budget Layout Selection page, in the grid actions section, use the Select button to open the page to the budget requests
Search for the budget request that needs to be deleted. Options for searching include: search by Request Code
Use the “*” if you only know part of the name or code.
Select the search button
Once the budget request shows in the Grid Actions section, navigate to the 3-dot menu in the line action menu, select Edit.
Navigate to the Budget Lines 1 tab.
In this example, there are 2 lines totaling $1,000.
To zero out all lines, select the View per Page option of 20, 50, 100, or 500 so that all the lines are viewable. Select the box on the far left-hand side of the headings. All lines with a check mark in the budget request will be zeroed out.
Select the Zero Out icon on the grid actions menu.
A pop-up box will appear verifying that you wish to zero out the lines.
Select Yes
Select Save
You will get a message: Action was successful.
The next step is to delete the lines.
Select the box on the far left-hand side of the headings and check.
Select the Delete icon on the grid actions menu.
A pop-up box will appear verifying that you wish to delete the lines.
Select Yes
Select Save and Close. You will return to the prior screen.
Lastly, once the budget request shows in the Grid Actions section, navigate to the 3-dot menu in the line action menu, select delete.
You will get a pop-up message
Select Yes
You will get a message: Action was successful
